nSpec integrates with Procore so your inspections can read project data from Procore and push action items back as Procore observations. This article explains the integration from an admin's perspective: who can use it, how to enable it on a tenant, how the first Procore sign-in works, and how admins link clients to Procore companies.
This article is for admins on standard nSpec tenants. If your entire tenant is configured as Procore (NSPEC-X), see the dedicated What is NSPEC-X article for the end-user perspective.
What the Integration Does
When Procore integration is enabled and configured for a client:
- nSpec can fetch the list of Procore projects for that client
- You can link an nSpec project to a Procore project
- Action items created on a linked project sync to Procore as observations, including type, trade, location, assignee, and other Procore fields
- Conflicts between nSpec and Procore are detected and resolved through a guided dialog
- nSpec uses your Procore credentials, so the projects each user can access are determined by their own Procore permissions
Tenant Types: NSPEC vs Procore
nSpec has two tenant configurations relevant to Procore:
| Tenant type | When it's used | User experience |
|---|---|---|
| NSPEC (standard) | You manage your own clients, projects, employees, and offices in nSpec. Procore is optional and only used for clients that have a Procore Company ID set. | Standard nSpec UI with Procore as an optional add-on per client. |
| Procore (NSPEC-X) | Your entire org runs through Procore. Every user is required to authorize Procore on first sign-in, and most projects are linked to Procore projects. | The "NSPEC-X" experience — see What is NSPEC-X for details. |
Switching tenant types is not self-service. Converting a standard NSPEC tenant to a Procore tenant (or vice versa) requires backend configuration. Contact support@nxtconstruction.ai to make this change.
The Enterprise Procore Permission
On standard NSPEC tenants, the Procore Company ID field on clients is gated by the Enterprise Procore Company permission. Without this permission, the field is hidden in the Create Client and Edit Client modals.
- Open Admin → Roles
- Edit a role (or create a new one)
- Check the Enterprise Procore Company permission
- Save
- Assign that role to admins who need to link clients to Procore
See Roles and Permissions for full role management instructions.
Linking a Client to Procore
Once you have the Enterprise Procore Company permission, you can attach a Procore Company ID to any client.
- Open the sidebar and click Clients
- Open the client (or create a new one)
- Find the Procore Company ID field
- Enter the client's Procore Company ID. See Managing NSPEC-X Clients for two reliable ways to find the Company ID in Procore
- Click Save
The Procore Company ID is locked after creation on Procore tenants. On standard NSPEC tenants, the field can be edited freely. On Procore tenants, the field is locked once the client is saved — to change it, you must delete and recreate the client.
Linking a Project to Procore
Once a client has a Procore Company ID, projects under that client can be linked to specific Procore projects.
- Open the sidebar and click Projects
- Open the project (or create a new one) under a client with a Procore Company ID
- In the project edit form, find the Procore Project dropdown
- Pick the Procore project to link to from the list (the list is fetched live from Procore)
- Set the required Procore Default Type field that appears below the dropdown
- Optionally expand Optional Procore Defaults to set default values for Trade, Assignee, Location, etc. — see Setting Up Procore Default Fields
- Click Save
First-Time Procore Sign-In for Users
Each user who needs to sync to Procore must complete a one-time OAuth flow. This is per-user — you cannot pre-authorize Procore for your whole team.
On standard NSPEC tenants
Users sign in to nSpec normally. The first time they try to do something that needs Procore (open a Procore-linked project, sync an action item), nSpec prompts them to complete the Procore login.
On Procore (NSPEC-X) tenants
Users are automatically redirected to a Procore Authentication Required screen on their first nSpec session. They click Login with Procore, authorize the integration, and are dropped back into nSpec ready to work. See What is NSPEC-X for the full flow.
Required Procore Permissions
Each user who syncs through nSpec needs Procore permissions to create observations on the projects they're syncing to. nSpec doesn't grant any Procore permissions on its own — it relies entirely on the user's existing Procore access.
See Procore Permissions Guide for the full permission requirements and a sample message you can send your Procore administrator.
Troubleshooting
I don't see the Procore Company ID field on clients
Solutions:
- Confirm you have the Enterprise Procore Company permission. Ask your administrator.
- The field only appears for users with the right role — it's not a tenant-wide setting
The Procore Project dropdown is empty
Solutions:
- Make sure the parent client has a valid Procore Company ID set
- Verify your own Procore account has access to projects in that company
- Sign out of nSpec and back in to refresh your Procore session
I want to switch our tenant from NSPEC to Procore
Solutions:
- This is not self-service. Contact support@nxtconstruction.ai with your tenant name and request the change.
